Complete Setup Walkthrough

From Signup to Your First Real Booking

This guide walks through every step of setting up a fully configured clinic, using a dental practice as an example. Adapt the details to your specialty.

1. Sign Up and Complete Onboarding

After signing up, the onboarding wizard collects your clinic basics:

  • Clinic name — what patients see on the booking page (e.g., “Riverside Family Dental”)
  • Phone — displayed on your booking page and dormant page
  • Address — shown to patients for in-person visits
  • Timezone — critical for correct slot display (patients see times in their own timezone)

You will also add your first provider and set their weekly availability during onboarding.

2. Verify Your Email

Check your inbox and click the verification link. Your booking page stays hidden until this is done. If you do not see the email, check spam or click Resend from the dashboard banner.

3. Create Your Appointment Types

Go to Settings > Appointment Types and create the services you offer. For a dental practice, a typical setup might be:

Set the mode carefully: video types auto-generate Zoom links if you connect Zoom later.

4. Refine Provider Availability

Go to Providers and expand your provider’s schedule:

  • Add time blocks for each working day (e.g., Mon-Fri 8:00 AM - 12:00 PM, 1:00 PM - 5:00 PM)
  • The lunch gap between blocks means no appointments are offered during that window
  • Set minimum advance hours to prevent last-minute bookings (24 hours is a common default)

5. Add Time Restrictions (Optional)

If certain services should only be available at specific times:

  • Open the appointment type in Settings
  • Expand Time Restrictions
  • Add day/time windows (e.g., Cleanings only Mon-Thu 8:00 AM - 12:00 PM)

6. Set Up Branding

Go to Settings > Branding:

  • Upload your logo (rectangular, at least 200px wide)
  • Upload your icon (square, at least 64x64px)
  • Write a welcome message (e.g., “Welcome to Riverside Family Dental! Book your appointment online.”)
  • Choose a color scheme that matches your brand

7. Connect Integrations (Optional)

Go to Apps to connect:

  • Calendar sync (CalDAV, Google, or Outlook) so appointments appear on your calendar
  • Zoom for video appointment types

8. Create Intake Forms (Optional)

Go to Intake Forms to collect information before appointments:

  • Create a “New Patient” form with insurance, medical history, and referral source questions
  • Assign it to your New Patient Exam type so only new patients see it

9. Test the Booking Flow

Open your booking URL (found in Settings) and book a test appointment:

  • Select an appointment type
  • Try each booking path (Choose a Provider, First Available, Choose a Date)
  • Complete the form and confirm
  • Check that the confirmation email arrives
  • Use the management link to test rescheduling and cancellation

10. Share Your Booking Page

Once everything looks right:

  • Copy your booking URL for email signatures and social media
  • Embed the Book Now button on your website
  • Download the QR code for printed materials

Tip: Run through the full booking flow on your phone before sharing. Most patients will book from a mobile device.
